The Role
We are seeking an experienced Assistant to provide high-quality administrative and operational support to the Philanthropy & Communications team during a period of parental leave. The role will provide support for the Vice President, Philanthropy & Communications, the Strategic Partnerships Director and the wider Philanthropy & Communications team.
Reporting to the Vice President, Philanthropy & Communications, the successful candidate will play an important role in ensuring the smooth day-to-day operations of a global team working across multiple time zones. This position requires exceptional organizational skills, sound judgement, strong attention to detail, discretion when handling confidential information, and the ability to manage multiple priorities in a fast-paced environment.
Responsibilities
Core responsibilities will include, but are not limited to, the following:
Executive & Administrative Support
- Provide targeted administrative support to the Vice President, Philanthropy & Communications.
- Provide general administrative support to the Strategic Partnerships Director, across diary management, travel coordination and expense management.
- Liaise closely with other Assistants and Operations colleagues across Co-Impact to ensure seamless coordination of meetings and travel.
Team Operations & Coordination
- Coordinate Philanthropy & Communications team meetings, including scheduling, agenda preparation, logistics, note taking and tracking follow-up actions.
- Support planning and logistics for internal team meetings, webinars, workshops and other virtual or in-person events/engagements.
- Provide general administrative support to team members as required, including preparing presentations and coordinating documents.
CRM & Knowledge Management
- Maintain accurate records within Salesforce by creating and updating contacts, organizations and funding opportunities.
- Upload and maintain meeting notes and key engagement records within Salesforce to support relationship management and pipeline tracking.
- Assist with moving funding opportunities through the Salesforce pipeline and ensuring data quality.
- Maintain organized Box folders and support document management to ensure information is easily accessible across the team.
Team Support
- Provide flexible administrative support across the Philanthropy & Communications team as priorities evolve.
- Assist with ad hoc projects and operational tasks to support the efficient functioning of the department.
- Build strong working relationships with colleagues across global teams and contribute to a collaborative and solutions-oriented culture.
- Proactively identify opportunities to streamline and improve team administrative processes, systems, and operational workflows.
Qualifications and experience
- Bachelor's degree or equivalent experience, with at least five years' experience supporting senior executives and globally distributed teams across multiple time zones.
- Excellent written and verbal communication skills in English.
- High level of proficiency in Microsoft Office (Outlook, Word, PowerPoint and Excel) and experience working with CRM systems such as Salesforce.
- Experience coordinating international travel, calendars and expense management.
- Experience within the philanthropy, nonprofit or international development sectors is desirable but not essential.

To ensure equity within the organization and for all candidates, we do not negotiate salary or benefits. The role is remote and flexible for candidates who are authorized to live and work in the UK. As we work across multiple regions, candidates should be comfortable collaborating across time zones, including occasional early‑morning or late‑afternoon meetings. The annual gross salary is USD74,000 per annum (pro-rated on a monthly basis for the duration of the contract and paid in local currency equivalent) plus a generous benefits package.
