The Role 

The Latin America and Global team at Co-Impact is seeking parental leave cover for the Program and Administrative Assistant role from mid-November 2026 to end of April 2027. The position will ideally be filled by a highly organized, collaborative, and values-driven professional with strong project management, communication, and analytical skills. The ideal candidate demonstrates sound judgment, integrity, adaptability, financial literacy, and a commitment to Co-Impact’s mission, while building trusted relationships and managing priorities effectively across global teams. 

Responsibilities 

The main responsibility of this role is to assist the Latin America & Global team with administrative support, including but not limited to: 

  • Calendar management, complex scheduling across time zones, meeting logistics, agenda coordination, and travel arrangements (including visas, accommodations, and ground transportation). 
  • Support annual strategic planning and project coordination by maintaining workplans, timelines, grantmaking records, tracking priorities, deadlines, and key follow-up actions to ensure timely execution. 
  • Support grantmaking and program partner management by maintaining partner records, monitoring reporting deadlines, and coordinating administrative aspects of the grantmaking process. 
  • Draft internal and external communications, prepare briefing materials, take meeting notes, and coordinate follow-up actions. 
  • Support administrative financial processes by preparing team expense reports, logging budget entries, and routing vendor contracts, invoices, and payment processing in compliance with organizational policies. Act as the team’s point-person for administrative tasks with other teams. 

Qualifications and experience 

  • Bachelor’s degree and at least three years of relevant experience. 
  • Experience in working for civil society organizations and/or philanthropy. Preference for candidates that have experience working with grantmaking platforms/systems. 
  • Excellent computer skills, proficient in Microsoft Office and other software tools (e.g., project management software, database software, contact management systems, contract, and grants management software) for managing a range of business processes. 
  • Excellent listening and communication skills with cultural sensitivity. 
  • High level of self-motivation and at ease working autonomously when necessary. 
  • Fluency in English (required) and Spanish or Portuguese required (fluency in Portuguese preferred). 
  • Attentive to detail and ability to reliably stay on top of a range of tasks and projects. 
  • Professional and diplomatic manner and disposition in interacting with program partners, donors, external partners, senior management, co-workers, and the general public; shows discretion in handling confidential material.

To ensure equity within the organization and for all candidates, we do not negotiate salary or benefits. The role is remote and flexible for candidates who are authorized to live and work in Mexico. As we work across multiple regions, candidates should be comfortable collaborating across time zones, including having early‑morning meetings. The annual gross salary is USD74,000 per annum (pro-rated on a monthly basis for the duration of the contract and paid in MXN based on FX rate determined at the point of offer) plus a generous benefits package.
